By switching to the Workiva reporting platform, Implenia has enhanced its reporting practice. Working alongside Linkgroup and KPMG, the company streamlined processes, strengthened collaboration and unlocked the platform’s full potential. A design refresh has also given the annual report greater structure and clarity.

Clear responsibilities

Linkgroup built Implenia’s new reporting environment in Workiva from the ground up, using a single-source-of-truth approach and providing close support right through to go-live. This included structuring documents to CI/CD standards, assigning permissions and aligning roles and responsibilities between Implenia, KPMG and Linkgroup. External parties such as translation agencies were also brought into the process early on. The result was a set-up that worked not only technically but was also clearly structured from an organisational standpoint.

Successful change management

For Implenia, introducing Workiva was far more than a technical migration. Training sessions, workshops and targeted enablement ensured the new way of working was widely adopted across the team, giving the company maximum process reliability. Particularly valuable was the involvement of C-level executives, who could make corrections directly in the tool. This consistent inclusion of all parties was a key success factor and ensured that Workiva’s collaborative benefits were fully leveraged.

Holisitic use of Workiva

Implenia embraced Workiva comprehensively from the outset. In addition to the half-year and annual reports, sustainability reporting was also integrated, followed up by monthly internal reports, press releases, the AGM invitation and the translation process via the XLIFF interface. This paid off particularly when last-minute changes were needed: amendments could be made directly in the system, with no additional interfaces required.

A clear audit trail

One of the key advantages of the new set-up was the approvals process. Feedback, corrections and approvals all ran through Workiva and could be tracked at any time via the audit trail – right up to C-level. This replaced email chains and unwieldy PDF mark-ups with a transparent, secure real-time workflow.

New design for the annual report

Besides working on the layout and production process, Linkgroup also gave the annual report a design refresh. Improved reader guidance, along with a style-defining use of boxes and secondary colours, gives the report a look and feel aligned with the Implenia brand.

A partnership of equals

Beyond the technical and process-related implementations, what remains most memorable is the quality of the collaboration. Coordination between Implenia, KPMG and Linkgroup was solution-focused throughout, underpinned by a high level of expertise on all sides. For us as an agency, it was particularly rewarding to see how decisively Implenia approached the transformation – and how a system migration gave rise to a reporting process with genuine added value.
